Membership Secretary

Role Overview:

The Membership Secretary plays a crucial role within the Southern African Archaeology Student Society (SAASS) Council by managing all aspects related to membership administration and engagement. This position is responsible for maintaining accurate membership records, facilitating membership applications and renewals, and fostering a sense of community among SAASS members. The Membership Secretary works closely with the Council and other stakeholders to ensure the smooth functioning of membership-related activities and initiatives.

Key Responsibilities:

  1. Membership Administration:

    • Maintain an up-to-date database of SAASS members, including contact information, membership status, and relevant details.

    • Process membership applications in a timely manner, ensuring completeness and accuracy of documentation.

    • Respond promptly to inquiries related to membership eligibility, benefits, and procedures.

    • Collaborate with the Secretary and other Council members to coordinate membership-related communications and activities.

  2. Membership Outreach and Engagement:

    • Develop strategies to attract new members and retain existing ones, with a focus on diversity and inclusivity.

    • Work with the Social Media representative to promote the benefits of SAASS membership through various channels, including social media, newsletters, and events.

    • Organise membership drives, information sessions, and networking opportunities to enhance member engagement and participation.

    • Establish and maintain relationships with members, encouraging active involvement in SAASS activities and initiatives.

  3. Documentation and Reporting:

    • Prepare regular reports on membership statistics, trends, and demographics for presentation to the Council and other stakeholders.

    • Ensure compliance with data protection regulations and privacy policies in handling membership information.

  4. Collaboration and Communication:

    • Collaborate with other Council members to integrate membership considerations into strategic planning and decision-making processes.

    • Attend Council meetings and provide updates on membership-related matters, contributing to discussions and decision-making as needed.

  5. Continuous Improvement:

    • Identify opportunities for improving membership processes, services, and experiences based on feedback and best practices.

    • Implement enhancements to streamline membership administration, enhance member satisfaction, and achieve organisational goals.

Qualifications and Skills:

  • Strong organisational and administrative skills, with attention to detail and accuracy.

  • Excellent communication and interpersonal abilities, with the capacity to engage and connect with diverse stakeholders.

  • Proficiency in database management and record-keeping systems.

  • Ability to work effectively both independently and as part of a team.

  • Commitment to promoting inclusivity, diversity, and accessibility within the organisation.

  • Previous experience in membership management or related roles is advantageous but not essential.
