Who can apply for the SDW?
The Annual Student Development Workshop (SDW) is a key event for SAASS members and one of the main benefits of membership. While most SAASS resources and activities are open access, this workshop prioritises members as recognition of their contribution and engagement.

Not a member yet? Join today! SAASS membership is free and provides access to resources, a supportive academic community, and the opportunity to apply for the annual SDW.

If I apply as a member, will I miss the deadline for the application?
No. Membership applications will be processed up until one week before the SDW application deadline. This gives new members enough time to apply for the workshop.

How many students will be able to attend?
The number of participants depends on the total funding secured. Students who can self-fund their travel costs may choose to do so, allowing more students to attend.

What are the deadlines for applications from South Africa and other SADC countries?
Application date: 5 November 2025

​Which countries are part of the SADC region?
The Southern African Development Community (SADC) includes 16 member states: Angola, Botswana, Comoros, Democratic Republic of Congo, Eswatini, Lesotho, Madagascar, Malawi, Mauritius, Mozambique, Namibia, Seychelles, South Africa, Tanzania, Zambia, and Zimbabwe.

Can I apply if I am not from a SADC country?
Yes, if your research is linked to the SADC region. However, applicants from outside the region must arrange and fund their own travel to attend.

Why was my application not accepted?
Unfortunately, not every application can be accepted due to funding and space constraints. The workshop is competitive, and selection ensures that those who will benefit most are included. Students are also encouraged to seek their own funding where possible.
Note: Applications are not rejected if participants are in the process of getting their passport.

What costs are covered for the workshop?
Accommodation and meals during the workshop are covered.
Travel grants may be available; however, due to limited funding this year, the number of awards will be restricted.
Applications for the travel grant will not open concurrently with the workshop application.
We strongly encourage applicants to make their own travel arrangements to Johannesburg or Mbombela, as travel grant opportunities will be limited. The opening date for travel grant applications will be communicated separately once details have been finalised.

What will the travel grant cover if I am awarded one?
Transport will be arranged from a central, agreed-upon location to the SDW venue and back.
Please note:

We cannot provide cash transfers or reimbursements for travel costs.

Local transport (e.g. to airports, bus or train stations) is not funded.

Travel support applies only between the central meeting point and the SDW venue.

Should I make my own travel arrangements?
Yes. Due to funding constraints, we strongly encourage all applicants to make their own travel arrangements to the central meeting point (e.g. Johannesburg or Mbombela)

Where and when will the workshop take place?
The 2025 Student Development Workshop will take place from 6-10 December 2025 at the Skukuza Science Leadership Initiative Campus, Kruger National Park, South Africa.

Where is the accommodation for the workshop?
Accommodation will be provided on-site at the host campus.

Will there be an online option for the SDW?
We are currently working on this and will provide updates as they become available.
Please note, that some speakers prefer not to share their work beyond the workshop setting and this will be communicated beforehand.

Is malaria a concern?
Yes. The Kruger National Park is a malaria area. Participants are responsible for purchasing their own antimalarial medication and mosquito repellent before attending.

Why is a letter of recommendation required, and who should write it?
The recommendation gives insight into your academic and professional background. It does not have to be from a lecturer — it can also come from a tutor, employer, excavation or lab supervisor, or another mentor familiar with your work and character. Choose someone who can write a meaningful and personal endorsement.

Why do we ask for a brief motivation statement?
The motivation letter is your chance to go beyond your CV. It allows you to explain:
- Why you want to attend the SDW
- What you hope to gain
- How the workshop connects to your academic and professional goals

Who is responsible for obtaining a passport and/or visa to attend the event?
Participants are fully responsible for obtaining and paying for any passports or visas required.

Will the SAASS council assist with the visa application process?
The SAASS council can provide a letter of support for visa applications upon request. It is your responsibility to request this letter in good time.
